1. Welcome
Leila happy to be “acting” chair
until anyone else proposes to take over the role.
Welcome to Fiona and Claire who are new to =
the
PTA meetings.
Leila explained benefits of PTA involvement
– helping school, children get “backstage passes” to even=
ts
(they really enjoy helping out behind stall etc), meet other parents and ha=
ve
fun.
Reminder that PTA is primarily a fundraising
body – any enquiries about school policy should be directed towards M=
iss
Ball and/or the School Governors – see noticeboard in foyer.
Tori provided a copy of last year’s
accounts and handed out summary of profits. Biggest fundraisers were:

A copy of the accounts is available in the =
PTA
box in the school office if anyone would like to see more detail.
Despite the sponsored bounce being a great
fundraiser it did not do as well as in previous years. Tori reported that o=
nly
50% of children/parents actually returned any sponsor money despite ALL
children being allowed to take part in the bounce event. The PTA needs to t=
hink
of a better way of collecting sponsorship money next time e.g. more reminde=
rs
to parents, submit sponsor form prior to event and then have it returned la=
ter
with a request to collect money?
Leila listed the main events that we hold e=

term.

Fair, Summer BBQ.
The BBQ, Quiz Night and Family Walk are mai=
nly
social events rather than fundraising events. The BBQ was a new event last =
year
and it seemed to be enjoyed by all the family. It would be good to do anoth=
er
one again this year.
In the past the PTA have tried to arrange a
Summer Ball and Barn Dance but these ideas had to be cancelled due to lack =
of
interest. The Quiz Night also had to be rescheduled last year due to lack of
interest to begin with.
Need to find out schedule of church events =
so
that PTA events don’t clash. This has been main cause of lack of inte=
rest
in our events in the past. Family events better as parents don’t need=
to
worry about babysitting and the children can have fun with their friends to=
o.
Action: Julie will try and find a list of c=
hurch
events.
Action: Justine will try and get a list of Junior
School events so that we don’t clash with any of their events either.=
Propose that we try to canvas the opinion of
parents as to what events they would like to attend. We have tried this bef=
ore
via the website but got no response! Will try again by printing out tick li=
st
of proposed events (along with “other suggestion” option) ̵=

get representative for each class to try and get parents to fill in the for=
m at
drop off time.
Action: Tori to print out tick list forms.
Suggestion of whether we should hold an eve=
nt
around Halloween. However the school does not celebrate Halloween and so PTA
discouraged from doing so too. Also, likely to be a poor uptake, although we
could do some kind of smaller optional event.

However, despite the above “titles=

we really all work as a team and there are many more people who regularly
contribute to the PTA’s success.
Justine handed over details of gaming licen=
ce,
lottery and raffle legal requirements to Helen.
Action: Tori to pass on change of signatory form =

Leila so that she can replace Cathy as signatory on accounts.
Cinnamon suggested having a PTA Phonebook w=
here
all the names and phone number of people we have used at past events can be
kept so that future committees have an easier job of knowing who to call.

3. Target
purchases for the year
Several parents have suggested that the=
PTA
should have target purchases for the year. This makes the fundraising more
focused.
Bridget suggested:

workshops

interactive
wipe boards (these cost thousands of pounds and if we had 4 more then each
class would have one. The PTA could aim to buy two and the school aim to buy
two.)

improvement
to the pre-school area within the school foyer e.g. purchase of “kind=

box” (approx £200)
Bridget and Rachel to canvas opinion of=

staff to see if they have anything to add to the wish list.

4. Events
for coming term
FAMILY= WALK
Honor = to organise and she has proposed either of the last two weekend in October.
Decide= d on Sunday 21st October.
Action:<= /span> Tori to let Honor know on the date we have decided.
CAKE S= ALE
Thursd= ay 18th October
Di Col= e offered to organise this. Cinnamon, Fiona, Helen and Claire happy to help.= p>
Di hap= py to organise and set up but needs to leave by 4pm at latest. Cinnamon, Fiona, H= elen & Claire happy to help clear up.
PAMPER= NIGHT
Tuesda= y 23rd October
Propos= ed night to include range of stalls and advice from experts re: make-up etc, accompa= nied by cheese and wine.
Entran= ce by ticket only. Tickets limited to 80 due to fire regs. Much fewer people expe= cted though as likely only to be women attending and they will need to find babysitters. Suggested ticket price (to include food and wine) - £3.5= 0.
Propos= ed time: 7.45pm – 9.30pm. People don’t have to come for whole time, can = just drop in at any time between those hours.
Justin= e has contacted Body Shop. They will send out two consultants and a full range of products. Will offer to do hands massage/makeover/facial. Will donate either gifts for raffle prizes or 10% of money to PTA.
Action:<= /span> Justine to book Body Shop.
Cathy = knows someone who could do massages.
Action:<= /span> Cathy to ask her friend to come along and do the massages. Wi= ll need to discuss the fee.
Justin= e also suggested getting someone from “colour me beautiful” but they a= re likely to charge.
Action= span>: Justine to find out more about “colour me beautiful= 221; charges.
Action= span>: Claire’s Mum (who also does “colour me beautiful”) to ask if she will come along (although unlikely as it involves a lot of travelling for her).
Jewell= ery stall – would Sarah Rooper be interested?
Action= span>: Cathy to ask Sarah if she would like to have a stall.
Gifts = stalls (ready for Christmas)
Action= span>: Amanda to ask Kate if she would like a stall for her Fleecem= ania.

Sugges= ted putting a note in the newsletter asking if any parents/friends of parents w= ould like to come along and do anything or sell gifts etc.

CHRIST= MAS DISCO
Propos= ed Tuesday 11th December 5.30-7pm
Childr= en to bring along donation of a NEW toy to be sent via social services to childre= n in need. Must make it clear that toys should be new and wrapped as there were quite a few old and soiled toys donated last year that had to be thrown awa= y.
Amanda= happy to organise this event.
Fiona = mentioned that a lot of children were scared by Barney Baloney at the last disco and suggested finding someone new to host this year’s disco.
Action:<= /span> Leila to ask Cheryl about other entertainers.
There = was confusion at the last disco as to whether or not siblings should be allowed= to attend the disco. The PTA decided that despite there being no regulations disallowing younger siblings from attending it was not a good idea for them= to come along. Many of the younger siblings were frightened by Barney Baloney = and were getting knocked over by the older children. Bridget agreed that it wasn’t a good thing to have younger siblings frightened by the school before they even got there.
Also a= t the last disco there were too many adults staying to look after their children. PTA needs to make it clear that parents should drop their children off and pick them up later. If they would like to stay then they should volunteer as a helper for the event instead. Perhaps parents of reception children should = be encourage to volunteer to help at this event as they are the most likely to want to stay and make sure their children are ok.
Chocol= ate coins will be handed out again at the end.
Action:<= /span> Amanda to send out note asking parents if they are happy with= this and checking whether or not their child has any allergies, in which case an alternative will be given to the child.
COFFEE= MORNINGS
It wou= ld be ideal if someone would take on the responsibility of organising and setting= up the coffee mornings. Leila and Cinnamon were the only helpers at the last coffee morning and were run off their feet as it was so popular.

Emma E= dwards offered to co-ordinate dates and volunteers and set up a rota of helpers.= span>
Action:<= /span> Emma to set up coffee morning calendar/rota and email to PTA volunteers.
5. Christmas
Fair
Propos= ed that planning of Christmas Fair should be done at an alternative meeting. Need to set up a sub-committee to organise fair.
‘= ;Sub-committee’ meeting proposed for Tuesday 16th October, 8pm, Leila’s ho= use (15 Whitfield Road). All volunteers welcome.
Justine volunteered to do the catering for the Christmas Fair.
6. Other
fundraisers
CALEND= AR
Despit= e some people growing bored of it many still think that it is a great idea, particularly for reception children. January starters in particular are mad= e to feel very welcome by being invited to draw a portrait of themselves (before they even start school) and then find themselves included on the school calendar.
Action:<= /span> Helen to organise sending out of letters to January starters = (which will include a reminder that they are invited to come along to the Christmas Fair where the calendar will be on sale), collecting drawings from all chil= dren and printing calendars.
Action= span>: Teachers to ask children to draw a portrait of themselves.= span>
PERSON= ALISED CHRISTMAS CARDS
New id= ea of personalised Christmas Cards. Cheryl know of a company that offers this service. All the children draw a Christmas picture which then gets sent off= to the company. They scan all the pictures and put them onto their website. Parents can then browse the website to find their child’s picture and choose to purchase them from the website. Only when they have been ordered = are they actually printed and so there are no upfront printing costs.
Discus= sed what parents without internet access would do. Proposed having a computer availa= ble at one of the coffee mornings – “internet café” st= yle.

Much more advertising of this site needs to be done to
promote it e.g. shopping with Amazon would be a good retailer to promote as
always buy online anyway.

CATALOGUES
Amanda asked if PTA wanted to distribute any other catalogues. Currently se=

out Yellow Moon and School Link. There are others e.g. toy catalogues.
Decided that would try sending out the toy catalogue =

Christmas.

Amanda to organise toy catalogues.
Also, Tori proposing to do bag drop of Phoenix catalo=
gues
and will donate 10% of proceeds to PTA.
EBAY/MISSION FISH
Tori has received info from NCPTA about new idea being
promoted by Mission Fish and ebay. Tori has registered with ebay and Mission
Fish already – now awaiting further information that is due to be sent
out in October. It looks as though people who sell their own stuff on ebay =
will
have the option of donating a certain amount of the proceeds to NGIS PTA.
Alternatively, they could use the PTA logon and sell their stuff and then a=
ll
the proceeds are automatically credited to the PTA account.
